Service address

Service addresses end with tuni.fi, lists.tuni.fi or groups.tuni.fi, depending on how it is implemented. Email sent to these addresses is monitored by one or more users. In some cases, it is also possible to send email on behalf of / from a service address. Each service address is assigned an owner who is responsible for the use of the address and for managing incoming email. Either the prospective owner of the address (or another user authorised by the owner) may request the creation of a service address.

Creating a service address

Send an email to the IT Helpdesk to request the creation of a new service address. The email address may include a range of features depending on the address type. Consult the table below to find out which one will best serve your needs. Please contact the IT Helpdesk with any questions.

Standard format of service addresses

Service addresses end with the suffix displayed in the above table. The beginning depends on the purpose and scope of the function, which the service address serves. 

  • function@, if the associated function or service applies to Tampere Universities as a whole
  • function.tau@, if the associated function or service only applies to Tampere University
  • function.tamk@, if the associated function or service only applies to Tampere University of Applied Sciences
  • function.tnk@, if the associated function or service only applied to Tampere Teacher Training School

What to include in your shared mailbox request 

The procedures for requesting a Groups-type address and a mailing list are described on separate pages in the IT handbook. When you request the creation of a distribution list or a shared mailbox, you need to provide the following details:

  • Email address (required)
  • Display name
    Service addresses have display names similarly to personal email addresses. This display name is the name that appears to people who receive emails from you. The format of the display name is:
    • Descriptive name of the function, if it applies to Tampere Universities as a whole
    • Descriptive name of the function (TAU), if it only applies to Tampere University
    • Descriptive name of the function (TAMK), if it only applies to Tampere University of Applied Sciences
    • Descriptive name of the function (TNK), if it only applies to Tampere Teacher Training School

      For example, the display name of the service address of Communications and Brand Development is Communications (TAMK) and Communications (TAU).
      If you do not include a preferred display name in your request, the display name will be formed from the email address.
  • Secondary address of the service address
    If you need two email addresses for the service address (for example a Finnish-language address and an English-language address), one of them will be the primary address and the other a secondary address. The difference is that you will not be able to send email on behalf of / from a secondary address, you can only receive email. You should consider which address you want to use to send email.
  • Email address of the owner of the service address (required - only one)
    The owner is responsible for the service address and for its use and deletion. Provide the owner’s email address in the format firstname.lastname [at] tuni.fi.
  • Email address of the administrator of the service address (required - only one)
    The administrator manages access to the service address, meaning that he or she can ask to add and remove users who can read email sent to the address. Provide the administrator’s email address in the format firstname.lastname [at] tuni.fi.
  • Email address of the deputy administrator of the service address
    The deputy administrator performs the administrator’s duties when he or she is unavailable. Provide the deputy administrator’s email address in the format firstname.lastname [at] tuni.fi.
  • Email addresses of the users authorised to access the service address (required)
    The authorised users are able to receive (distribution list) and send (distribution list and shared mailbox) emails on behalf of / from the service account. The owner and administrators will not be included in this group by default, so please remember to include their email addresses as well, if necessary. Use commas but not spaces to separate the addresses: firstname.lastname [at] tuni.fi,firstname2.lastname2 [at] tuni.fi,firstname3.lastname3 [at] tuni.fi.

The IT Helpdesk will notify the person who submitted the request after the service address has been created.
